Little Lens Club Ltd is committed to creating a safe, respectful, and supportive environment for all children and young people who take part in our sessions.

This policy outlines how we safeguard children and how we collect, use, and protect personal data in line with UK GDPR.

1. Safeguarding Commitment

We believe that every child has the right to feel safe, valued, and respected.

All Little Lens Club sessions are delivered with the child’s wellbeing at the centre. We are committed to:

  • Providing a safe and inclusive environment

  • Treating all children with respect and dignity

  • Encouraging confidence, creativity, and self-expression

  • Responding appropriately to any concerns about a child’s welfare

2. Safer Recruitment & Training

All individuals delivering Little Lens Club sessions:

  • Hold an enhanced DBS check (or will obtain one prior to delivery)

  • Have experience working with children or are supported through training

  • Receive guidance on safeguarding, behaviour management, and appropriate conduct

We ensure that anyone representing Little Lens Club understands their responsibility to safeguard children at all times.

3. Code of Conduct

All team members are expected to:

  • Maintain appropriate professional boundaries with children

  • Use positive, respectful language at all times

  • Avoid any physical contact unless necessary and appropriate

  • Never be alone with a child in a closed or unsupervised environment

  • Follow the safeguarding procedures of the host school or organisation

4. Safeguarding Concerns

If a safeguarding concern arises during a session:

  • The concern will be reported immediately to the designated safeguarding lead (DSL) within the school or organisation

  • A factual record of the concern will be made

  • Little Lens Club will follow the safeguarding procedures of the host setting at all times

We do not investigate concerns independently, but we take all concerns seriously and act promptly and appropriately.

5. Health & Safety

We take reasonable steps to ensure all activities are safe and age-appropriate.

This includes:

  • Supervised use of photography equipment

  • Clear instructions and structured activities

  • Awareness of the environment (indoor and outdoor spaces)

  • Managing group sizes appropriately

Risk assessments can be provided upon request.

6. Data Protection & Privacy

We collect and process personal data in line with UK GDPR.

Information we may collect:

  • Parent/guardian contact details

  • Child’s name, age, and relevant information for participation

  • Booking and attendance records

How we use this information:

  • To manage sessions and ensure safe participation

  • To communicate with parents or schools where necessary

  • To deliver our services effectively

We do not sell or share personal data for marketing purposes.

7. Data Sharing

Where sessions are delivered within a school or organisation:

  • Relevant information may be shared with the school where necessary for safeguarding and operational purposes

  • We follow the school’s policies regarding data handling and confidentiality

8. Photography & Image Use

During sessions, photographs may be taken:

  • By children as part of the activity

  • Occasionally by Little Lens Club for documentation or promotional use (with consent)

Parental consent is always obtained before any images of children are used publicly.

Children’s own photographs may be shared (with consent) to celebrate their work, including:

  • Website and social media

  • Displays or exhibitions

  • Competitions or printed materials

We will never sell a child’s images or use them in a way that does not align with the values of Little Lens Club.

9. Data Retention

We retain personal data only as long as necessary to deliver our services and meet legal obligations.

Data is securely stored and deleted or anonymised when no longer required.

10. Working with Schools & Organisations

When delivering within a school or organisation, Little Lens Club will:

  • Adhere to the setting’s safeguarding and child protection policies

  • Work alongside the designated safeguarding lead (DSL)

  • Follow all site-specific procedures and expectations

  • Provide relevant documentation (DBS, insurance, risk assessments) upon request
